TERMS & CONDITIONS

Tour members are deemed to have read, understood and accepted the following terms and conditions
“ACE TOURS & TRAVEL (PG) SDN BHD” and its associated agents are referred as the organizers. 
  • The organizers covenant to include the followings in the tour fare:

  • Return economy class, grouped air-tickets (excluding taxes), which is non-refundable (referred to the rules);

  • Accommodation, which is based on half-twin-sharing for adults. For single or triple person(s) registered at the same time, the organizers would try to arrange share-twin room for the third party. If there is nobody sharing twin, the Tour Members must stay in a triple room or an additional single room, extra charges may be imposed. 

  • Child fare (below 12-year-old) is based on condition of the child being as the third person in twin or double room of two adults without own bed. If a child occupies a half-twin or an extra bed, there will be a surcharge. 

  • Meals and sightseeing would be provided as specified in the itinerary. Checked-in luggage is limited to 20/30kg per person and hand-carried luggage is limited to 5-7kg per person. (Depending on destinations and airlines)

  • Tour fare excludes: passport fee, visa fee, vaccination fee, airport tax, duty tax, transport fee for excess baggage, tips (for bell boy, driver, tour guide and tour leader), personal travel insurance and expenses of a personal nature.
  • A non-refundable deposit of RM 2,500 (for ASIA only), RM 5,000 (for EUROPE / MIDDLE EAST / AUSTRALIA / NEW ZEALAND / AFRICA/CENTRAL ASIA), RM 4,000 (for USA/ CANADA), RM 5,000 - RM 10,000 (for CRUISES) per person must be paid upon reservation and the balance must be paid by at least ONE MONTH before the date of departure. Otherwise, the Tour Member will be treated as withdrawing themselves from the tour, the deposit is then forfeited. 
    * The required deposit is subject to change without prior notice.*
  • In case of currency fluctuations, increase in fuel charges, airport taxes, visa fee, etc., the organizers reserve the rights to adjust the tour fare accordingly. 
  • Any cancellation must be made in writing. Cancellation fees on normal seasons will be charged as follows: 

  • 45 days before departure: 50% of tour fare

  • 22-44 days before departure: 80% of tour fare

  • Less than 21 days before departure: 100% of tour fare

  • During Peak/Festive seasons (e.g. Chinese New Year) /Promotion, the cancellation fees would different. 

  • Those who fail to notify cancellation in writing, the organizers reserve the rights to forfeit either the deposit or the whole payment made.

  • Any amendment/postponement must be notified to the organizers in writing 45 days before departure. If it is agreed by the organizers, original receipt must be submitted and altered by the organizers. (Oral amendments are not accepted)

  • Organizers reserve the rights to reject any amendment, and a minimum processing fee of RM 300-RM500 will be levied for any amendment or extension of date.

  • Organizers reserve the rights to charge amendment /postponement fees.

  • The amendment/postponement may result in increasing of tour fare without any further notice. 

  • Of travelling, no refund in part or full during the tour can be made if a person opt not join any service stated in the tour itinerary. 
  • The organizers will only provide the service of an accompanying tour leader for a group of at least 20 adult-passengers. 
  • The organizers reserve the rights to cancel any booking or to change date of departure due to insufficient group size or any unavoidable reason whatsoever shall be incurred by the organizers for such cancellations. All monies paid towards participation fees shall be refunded in returning of all receipts. (No refund of visa fees if visas were obtained)
  • The organizers reserve the right to cancel any booking due to any act of God, War, Strike, Riot or order from the Government of Malaysia that is beyond its control.

  • In the event organizers shall propose alternative tours to the same destination. Should any passenger decide not to accept the alternative tours, an administrative charge of minimum RM300 on top of all  necessary cancellation charges imposed by the ground operators and airlines will be levied.

Personal Travel Insurance: All passengers are recommended to purchase a personal travel insurance scheme.
  • Passport Validity: Passengers must personally ensure that they have a valid original passport (for validity of at least 6 months from the date of departure)/(a full blank page for South Africa) depending on the requirement of each country, current health certificates and relevant visas before departure, and are required to keep their own passports safe while travelling abroad.
  • Visa Application: All passengers are encouraged to process their own visas. The organizers offer assistance in applying visas but the approval is depended on the right of respective embassy. (No refund of visa fees if the visa issuance is rejected) The organizers cannot be held liable for any loss of passport(s) due to any reason. (Including non-limitation, negligence on the part of staff members, agents or servants)
  • The organizers only act as agents for the airlines, transportation companies, hotels, etc. Any incident happened during the tour will be settled by the respective airlines, transportation companies and hotels according to their terms and conditions. The organizers will not be held responsible. 
  • Any unforeseen cases happened, which is beyond control of the organizers, shall be on tour members’ own risks. The organizers shall not be held liable to any person as a result of the following: 

  • Inaccuracy, incorrect descriptions or changes to any itinerary; 

  • Additional expenses due to delays or changes in any transportation, pandamic, climate, strikes, wars, quarantine, disasters riots and etc.; 

  • Extension of stays and flight arrangements that are conflicted; 

  • Any damage or loss of baggage, personal belongings and relative accidents; 

  • Deportation or refusal of entry to Tour Members by Immigration Authorities due to possessing unlawful items, holding improper travelling documents or whose behavior and activities are considered subversive by the foreign government concerned.

  • Difficult and uncooperative Tour Members, whose act and conduct deems to be unreasonable and detrimental to the enjoyment, interest and safety of the other Tour Members, and the smooth running of the tour would be dealt by the tour leader. The tour leader may require the uncooperative Tour Members to leave the tour and this decision on this respect is final and conclusive. The organizers will not make any refund for uncompleted parts of the tour for the respective Tour Members. 
  • Tours will operate on a sit-in-coach basis, whenever circumstances deem necessary. 
  • The organizers reserve the rights to alter or cancel any arrangement contained in the itineraries. No refund shall be made as if the cancellation is due to unavoidable circumstances: any changes or delay caused by airlines or local transports including coach, train, ship, ferry, cable car stated in the itineraries, pandemic, weather, strikes, war, quarantine, natural disaster, force majeure, etc.
  • The information provided in all brochures and itineraries is correct to the best of the organizers’ knowledge by the time of publishing, however the organizers will not guarantee for any availability of items mentioned, especially for indirectly controllable range or ability.
  • Staff members of the organizers are not equipped to cater or provide any service for the special needs of disabled/handicapped individuals who have sight, speech, hearing or mobility disabilities and for whom suffering from any medical condition. The organizers strongly urge that intending Tour Members to equip themselves with special care or needs required. 
  • The special tour-air-tickets are based on group travel and are restricted to respective airlines only; it is non-endorsable, non-refundable and non-redoubtable. Any alteration on the routing is at tour members’ own risks so as the extra expenses needed. For those travelling on extra chartered flight, there are definitely no change in flight schedule. 
  • Documental fees will be imposed by the respective airlines for any amendment to the name of the issued air-tickets. 
  • Tour fares are paid based on cash basis. Payment made by credit card is subject to surcharge (for credit card service charge, GST). Payment made by  cheque must be settled by 21 days before departure.
